Table of Contents
Please read carefully. Cancellation charges can be significant, particularly close to departure. We strongly recommend purchasing comprehensive travel insurance at the time of booking to protect your investment.
1. Overview
This Refund and Cancellation Policy applies to all bookings made through Fairofare Travels Limited. It should be read in conjunction with our Terms and Conditions.
By making a booking with Fairofare Travels Limited, you agree to the terms set out in this policy. The cancellation and refund terms applicable to your specific booking will also be communicated to you at the time of booking confirmation.
Please note that travel arrangements often involve third-party suppliers each of which maintains their own terms, conditions, and cancellation policies. The refund available to you is ultimately determined by the terms imposed by those suppliers.
2. Cancellation by You
Should you wish to cancel all or part of your booking, you must notify Fairofare Travels Limited in writing as soon as possible. All cancellation requests must be submitted via email to cancellations@fairofare.co.uk or in writing to our registered address.
Cancellations will only be accepted from the lead passenger named on the booking, or an authorised representative with documentary authority to act on their behalf.
The date of cancellation will be the date on which we receive your written cancellation request during our normal business hours (Monday to Friday, 09:00–18:00 GMT). Requests received outside of business hours or on public holidays will be treated as received on the next working day.
3. Cancellation Charges
Where a booking is cancelled by you, cancellation charges will apply as outlined below. These charges represent a genuine pre-estimate of the losses and administrative costs we incur:

4. Non-Refundable Items
The following items and charges are strictly non-refundable under all circumstances:
Deposits: All initial booking deposits paid to secure reservations.
Restricted Airfares: Tickets designated as non-refundable or non-changeable by the airline at the time of purchase.
Visa & Passport Fees: Costs incurred for visa applications, electronic travel authorisations (e.g. ESTA, ETA), and passport services.
Travel Insurance Premiums: Insurance policy costs once the cooling-off period has expired.
Administration & Amendment Fees: Any fees previously paid for booking amendments or administration.
5. Amendments & Rebooking
If you wish to alter your travel arrangements after booking confirmation (e.g. change of travel dates, destination, or passenger names), we will endeavour to accommodate your request, subject to supplier availability and fare rules.
Amendment Fee: Fairofare charges an administration fee of £50 per person for any voluntary booking modification.
Supplier Penalties: In addition to our administration fee, you will be responsible for any price differences, fare upgrades, or penalty fees imposed by airlines, or other suppliers.
Name Changes: Many scheduled airlines treat name changes as a full cancellation and rebooking. Where this applies, standard cancellation charges and current ticket prices will apply.
6. Airline-Issued Refunds & Timelines
Where a flight ticket is eligible for a full or partial refund under airline fare rules, Fairofare Travels Limited will submit the refund application to the airline or consolidator on your behalf.
Admin Charge: A processing fee of £75 per ticket applies to all flight refund applications.
Processing Timeline: Airline refunds are paid to you only after funds have been cleared and received by us from the airline. This process typically takes 10 to 12 weeks, though it may take longer during periods of high disruption.
Tax Refunds: If you hold a non-refundable ticket and apply to recover unused airport and government taxes, an administration fee of £75 per ticket will be deducted. If the recoverable taxes are less than £75, no refund will be payable.
7. Cancellation by Fairofare Travels Limited
While we make every effort to deliver your travel arrangements as confirmed, on rare occasions it may be necessary for us to cancel your booking. In such circumstances:
You will be offered an alternative or travel arrangement of equivalent or superior standard at no extra cost, OR
A full refund of all monies paid to Fairofare Travels Limited for that booking.
We will not cancel your booking less than 8 weeks before departure, except where cancellation is necessitated by Force Majeure or failure by you to pay the final balance on time.
8. Significant Changes to Your Booking
A "significant change" is defined as a change of UK departure airport or a change of departure time by more than 12 hours. If we are notified of a significant change by our suppliers, we will contact you as soon as practicable. You will have the option to:
Accept the changed arrangements;
Accept an alternative travel arrangement of comparable standard (if available); OR
Cancel your booking and receive a full refund of all monies paid.
9. Force Majeure
Fairofare Travels Limited accepts no liability and will not pay compensation or issue refunds where the performance or prompt performance of our contractual obligations is prevented or affected by events amounting to Force Majeure.
Force Majeure includes, but is not limited to: war or threat of war, civil strife, terrorist activity, industrial disputes, natural or nuclear disasters, adverse weather conditions, epidemics or pandemics, air traffic control strikes, governmental actions, or closure of airspace.
10. Travel Insurance Recommendation
We strongly and explicitly advise all clients to take out comprehensive travel insurance at the time of booking. Your policy should cover cancellation due to illness, injury, bereavement, travel disruption, emergency medical repatriation, and loss of baggage. Many cancellation charges can be reclaimed from your insurer if your reason for cancellation is covered by your policy.
11. Refund Payment Process
All approved refunds will be credited back to the original method of payment used at the time of booking (e.g. credit card, debit card, bank transfer). Under no circumstances will refunds be issued to third parties or via alternative payment methods.
Once approved and received by us, refunds are processed within 14 business days.
12. How to Request a Cancellation or Refund
To request a cancellation or refund, please follow these steps:
Step 1: Email cancellations@fairofare.co.uk quoting your full booking reference number, lead passenger name, and departure date.
Step 2: Clearly state your reason for cancellation and whether you are requesting a refund, credit voucher, or rebooking.
